E-Mail ******************************************* Sending and Receiving Electronic Mail using TeleFinder ¥ Your private mailbox icon ¥ Sending a message to another user ¥ Sending and receiving mail through the Internet ¥ Sending a file to another user ¥ How to use the "Address Book" feature ¥ Automating mail delivery using the "Mail Outbox" feature One of the most popular features about electronic networks in general, and bulletin boards in particular, is the ability to send and receive electronic mail messages ("e-mail") at speeds which are usually much faster than would be obtained by using the regular US Postal system. We should warn you at the outset that electronic mail which passes through this bulletin board is subject to review by the Sysop and his/her assistants. There are NO provisions made on this BBS to ensure the privacy of your electronic mail. Act accordingly! ¥ Your private mailbox icon You can use TeleFinder's electronic mail feature to exchange messages and files between other users of this BBS system, as well as users connected to other FidoNet systems. TeleFinder/User provides you with a mail form to compose and send text messages to other users. When you logon to our system, you will notice an icon that looks like a regular US Postal Service mail box. This "Drop-Box" icon represents a user's private mailbox. Guest callers do not have the necessary privilege settings to add to or delete files from the Guest "Drop-Box." When you register with the CCS bbs, you will be given a separate "Drop-Box" which will hold all of your private correspondence and any files which have been sent directly to you by another user. Other users will have "write-only" access to your Drop-Box -- they can send you files or messages, but they cannot view the contents of your Drop-Box. When mail messages or files are waiting for you, your Drop-Box icon will show a letter sticking out of it. This is your visual cue that you have material inside your Drop-Box. No letter means that there are no files in your Drop-Box. Mail remains in your Drop-Box until you drag it to the Trash icon on your desktop to remove it. Please clear out your Drop-Box periodically so that your dormant files don't end up wasting space on our hard drive! ¥ Sending a message to another user To send a mail message to another BBS user, select the "New Mail Form" command from the Mail menu. The keyboard shortcut to create a new message is Command -"N". You can use this Mail form to compose messages up to 32K in size. Standard Macintosh editing commands are active from within the New Mail Form window. You can import text into a mail message from existing documents by using the Import command found under the File menu. To send your message to another user, click on the "Mail" button. - Addressing your message: If you are replying to a message which you have just read, use the "Reply to Mail" command found in the Mail menu. The keyboard shortcut is Command -"R". TeleFinder will open a New Mail Form with the address already filled out for you. Compose your reply and then send it to the other user by clicking on the "Mail" button. If you already know how to spell the recipient's name, type the name in the "To:" edit field. Compose your message and then click on the "Mail" button to send the message. If you have previously added the person's name to your Address Book, click on the "To:" button and select their name from your list of Addresses. If you want to send a message to another user, but you are not sure how to spell their name, use the "Locate a User..." command which is available under the "Mail" menu. The keyboard shortcut is Command -"U". TeleFinder will open a dialog box which will prompt you to enter a portion of the person's name. If you are unsure of the complete spelling, enter just a small portion of the user's name -- perhaps just the first name if you are sure of that. Next click in the "OK" button. In a moment or two, TeleFinder will display all the matches to your criteria. If the user name which you are searching for appears in TeleFinder's list, you may: 1) copy the name using Command -"C" and paste it into your New Mail Form; 2) click on the "MailBox" button to instantly put that user's Drop-Box on your desktop; or 3) add that user's name to your Address Book as we will explain how to do in just a moment. Internet E-Mail ******************************************* ¥ Sending and receiving mail through the Internet global network After selecting a "New Mail Form," address your message by simply entering the remote user's email address. Example: To: my.friend@aol.com Subject: Hello at last! -------------------- (body of message begins under this line) -------------------- Hello My friend! This is just a test to see whether I can route InterNet mail to you. To receive mail from the internet, mail should be addressed to your_name@headgap.com If you registered as John Hope, your Internet email address would look like: John_Hope@headgap.com (Note the period separating the first and last names!) This feature is NOT available to Guest callers, sorry! For instructions on how you can route mail to CompuServe, Delphi, America Online, Bix, GEnie, AppleLink, and other service providers with Internet gateways, please download the "Inter-network Mail Guide." The basic addressing method is the same, but the addresses for different online services need to be converted. For example, if you have an AppleLink correspondent you wish to send mail to, the To: field would look like this: someaddress@applelink.apple.com CompuServe addresses must also be converted. Replace the comma separating the first and last sequence of numbers with a period and then append "@compuserve.com" As in this example: 78523.145@compuserve.com The Inter-Network mail guide gives you examples of how to do this correctly for all the major online services you might want to route mail to. If you see your mail returned to you with an error message to the effect that: While sending mail to: your.recipient@nowhere.wintermute.com The following error occured: Privilege Error - You need to send 'Sysop' a note inquiring about your access level. Guest callers do not have the privilege level required to send Internet mail messages. Further questions regarding the sending and receiving of electronic mail should be addressed to 'Sysop'. TFNET and TCN E-Mail ******************************************* The technique for sending Internet EMAIL is very similare to that used to send Fidonet EMAIL except that you would substiute the receipients TFNet address for his Fidonet address, and leave off the ".FidoNet part" of the address. An example using my address is: To: Bob_Nunn@headgap.tfnet.org A User who logs into the system as "your name" has an address: your_name.headgap.tfnet.org (spaces are converted to underscores by TF.) Sending Files Attached to e-mail ******************************************* ¥ Sending a file to another user To send a file to another BBS user, you need to have their "Drop-Box" icon visible on your desktop. If the user's Drop-Box is not present on your desktop, select the "Get the Drop-Box ofÉ" command from the "Mail" menu. The keyboard shortcut to accomplish this is Command -"D". TeleFinder will open the "Get Drop-Box" dialog. Enter the user's name in the text box and then click on the "OK" button to place the user's Drop-Box on your desktop. If you do not know how to spell the user's name, use the "Locate a UserÉ" command discussed above. Once the Drop-Box icon is visible on your desktop, you can transfer a file instantly to the other user by dragging any file icon from your hard drive over the Drop-Box's icon. You should see a transfer progress window immediately after performing this step. ¥ File attachments, or email messages with BinHexed files TeleFinder User v4.0 now supports sending file attachments with email messages. If you receive a large email message that begins something like this: (This file must be converted with BinHex 4.0) :$%&%8e!J+$%Z05ia+3"*6NP868&$8`%!!!!!!!!!2i(XR!!!!!!"!!!!2[d!!$h p!!!!K!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!$%&%8e!J+$%Z05i... Try dragging the file over Stuffit Expander's desktop alias. Or launch Stuffit Expander and have it decode the file attachment. The Address Book ******************************************* ¥ How to use the "Address Book" feature TeleFinder's built-in "Address Book" simplifies the transfer of mail messages and files between users of the BBS. The "Addresses" icon at the bottom of your screen may be opened by double-clicking on its icon. The Address Book stores user's names and it simplifies obtaining another user's Drop-Box. To use the Address Book, first double-click on the "Addresses" icon. TeleFinder will display any listed names. Click on the "Add" button to add the name of a user as a new entry in your Address Book. TeleFinder will then open the "User Address" dialog. Enter the user's name (and telephone number, if you wish). You may enter up to 31 characters in the User Name text field. The Phone Number field holds up to 19 characters. If you frequently exchange messages and files with this user, activate the "Automatic Drop-Box" checkbox by clicking on it. When the "Automatic Drop-Box" feature is selected, TeleFinder will get the user's Drop-Box for you every time you call the BBS. A special mailbox icon will appear next to any user's name for which you have activated this feature in your Address Book. Finally, click on the "OK" button to permanently add a user to your Address Book. When you are inside the Address Book, remember to highlight a user's name before you try to make any changes. Once you have selected a user's name, you may then perform the following: - obtain the Drop-Box icon by clicking on the "Mailbox" button - generate a correctly addressed mail form by clicking on the "Mail Form" button - edit a user's information by clicking on the "Edit" button - delete a user from your Address Book by clicking on the "Remove" button Once a user has been entered into your Address Book, you may click on the "To:" button in the New Mail Form window and select their name to automatically address your message. Automatic Mail Delivery ******************************************* ¥ Automating mail delivery using the "Mail Outbox" feature You can use TeleFinder's built-in "Mail Outbox" feature to automatically send and receive mail messages in one quick transaction. You can then read all of your mail messages offline without running up your phone bill, and you may reply to those messages at your leisure. Using the "Mail Outbox" feature you can also schedule the unattended delivery of a file from your hard drive to a user on the BBS. TeleFinder/User must be running at the time your file transfer is scheduled to take place, and your modem must be on for this transfer to occur. You may store up to 250 files in your Mail Outbox. Here's how to use the "Mail Outbox" feature: Begin by double-clicking on the Mail Outbox icon located at the bottom of your screen. TeleFinder will open the "Outbox" window. From the "Outbox" window, click on the "Add" button. TeleFinder will then display a standard Macintosh Open/Save dialog window from which you can select any message or file which you have stored on your hard drive. Once you have highlighted a file, click on the "Open" button. Instead of opening your file, TeleFinder will open the "Outbox Addresses" dialog box. Select a recipient from the list, then click on the "OK" button. If the person to whom you wish to send this message or file does not appear in this list, click on the "Other" button. You may manually enter the person's name in this way. TeleFinder will now place your file and selected user name in the Outbox window. If you also want TeleFinder to retrieve any waiting mail in your mailbox, activate the "Pickup my mail too!" checkbox. Use the "Edit" button if you decide that you would rather send the file to a different person. Use the "Remove" button to delete the queued file from the Outbox window. Scheduling a time to send queued messages and files: Once you have selected files to send, and added a user's name as the recipient, you can send files immediately, during your next BBS connection, or at a specific time which you specify. To send files immediately, click on the "Send Now" button. TeleFinder will automatically dial the BBS, transfer your messages, and then disconnect. To send files when you next connect to the BBS, click on the "Next Connection" button. Using this option, the next time you connect to the BBS TeleFinder will check your Outbox before you log off and remind you that you have files waiting to send. You will then have the option of sending the files before you disconnect, or you may decide not to send the files after all. Scheduling files to be sent automatically at a later time: Note: Do not use the scheduling feature if you are sending Internet mail. This feature conflicts with the Internet Gateway software which we are currently using. Ideally you would send your large files during times when connection rates are the lowest. To do this without waiting around till 2:00am or whenever, use the "Send files: At:" option in the Outbox window. Once you select the "Send files At:" option, TeleFinder will open the "Date/Time Set" dialog. From this dialog window, enter both the time and the date at which you want TeleFinder to automatically send your files to the BBS. Click on the "OK" button to save your settings. Using the Macintosh's internal clock, TeleFinder will automatically send the files you requested when the selected time and date roll around. Thank You!
